Last updated 13 October 2026
1. Who we are
Vantaria Labs Limited (“Vantaria”, “we”, “us” or “our”) is the controller of the personal data described in this notice. We are a company registered in England and Wales, company number 17485260, with our registered office at 124-128 City Road, London EC1V 2NX.
We are registered with the Information Commissioner’s Office under registration number ZC272056.
This notice covers www.vantarialabs.com and enquiries made to us, including demo requests. It does not cover the Vantaria product, which is provided under separate terms agreed with each customer. If you have any questions about this notice, contact us at info@vantarialabs.com.
2. The data we collect
Depending on how you use the website, we may collect:
- Identity and contact data: your name, work email address and organisation.
- Enquiry data: the content of demo requests and other messages you send us, and our replies.
- Technical data: your IP address, browser type and version, device type, operating system and the pages you request, which our hosting provider processes to deliver and protect the website.
- Usage data: how you use the website, such as the pages you view, how you arrived and your approximate location (country, region or city). We collect this through Cloudflare Web Analytics, which uses no cookies, and, if you accept analytics cookies, through Google Analytics. With that consent, Google Analytics also measures video plays, progress, completions and replays. Google Analytics does not store your IP address.
- Security data: signals from your browser that Cloudflare Turnstile checks when you send the demo form, to tell people apart from automated spam.
We do not ask for special category data, and we ask you not to include it in messages to us.
3. How we collect your data
- Directly from you, when you send the demo form or email us.
- Automatically, when you use the website, through the technologies described in section 7.
4. How we use your data and our legal bases
| Purpose | Data | Legal basis |
|---|---|---|
| To respond to your enquiry and arrange a demo | Identity, contact and enquiry data | Legitimate interests: responding to people who contact us about our services |
| To keep records of our communications with prospective customers | Identity, contact and enquiry data | Legitimate interests: running and developing our business |
| To measure visits to the website and improve it | Usage data (Cloudflare Web Analytics) | Legitimate interests: improving the website. You can object at any time |
| To understand in more detail how the website is used | Usage data (Google Analytics) | Consent, which you can withdraw at any time |
| To deliver the website and protect it and the demo form from spam, abuse and attacks | Technical and security data | Legitimate interests: keeping the website and our systems secure |
| To comply with our legal obligations | Any data the obligation requires | Legal obligation |
We do not sell personal data, use it for advertising or make decisions about you by automated means. We do not send marketing emails unless you have asked to receive them.
5. Who we share your data with
- Service providers who act on our instructions: Cloudflare (website hosting, security, the Turnstile check, Web Analytics and delivery of demo requests) and Google (email through Google Workspace and, if you accept analytics cookies, Google Analytics).
- Professional advisers, such as lawyers and accountants.
- Regulators, law enforcement and other authorities, where the law requires it.
- A buyer or successor, if our business or its assets are sold or reorganised. They may use your data in the same way as set out in this notice.
We require our service providers to keep your data secure and to use it only to provide their services to us. Cloudflare also uses Turnstile signals to improve its bot detection as a controller in its own right, as explained in Cloudflare’s Turnstile privacy addendum.
6. International transfers
Our service providers may process your data outside the UK, including in the European Economic Area and the United States. Where data is transferred outside the UK, we make sure it is protected by UK adequacy regulations (for certified US organisations, the UK extension to the EU and US Data Privacy Framework) or by the International Data Transfer Addendum to the European Commission’s standard contractual clauses.
7. Cookies and similar technologies
We set one cookie without asking, which remembers the choice you make in our analytics banner. Google Analytics cookies are set only if you accept them. You can change your choice at any time under Cookie settings at the foot of every page; withdrawing your consent deletes the Google Analytics cookies.
Cloudflare Web Analytics measures visits without setting cookies or storing information on your device. UK law allows this kind of measurement, used only to improve a website, without consent, provided you are told about it and can object. You can object by choosing Reject in the banner or under Cookie settings, which stops it from the next page you open. Visitors in the European Union, the European Economic Area and Switzerland are measured only if they accept.
| Name | Provider | Purpose | Duration |
|---|---|---|---|
| vl_consent | Vantaria | Remembers your analytics choice (strictly necessary) | 6 months |
| _ga | Google Analytics, only if you accept | Distinguishes visitors | 13 months |
| _ga_ followed by an identifier | Google Analytics, only if you accept | Maintains the state of a visit | 13 months |
Cloudflare may also store information on your device when it checks the demo form or protects the website from attacks. This is strictly necessary for security; see Cloudflare’s cookie policy.
8. Data security
We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, including encryption in transit and access limited to those who need it. No transmission over the internet is completely secure, but we will act promptly on any suspected breach and tell you and the regulator where we are required to.
9. How long we keep your data
We keep personal data only for as long as we need it for the purposes above, including to meet legal, accounting or reporting requirements:
- Enquiries and correspondence: up to 24 months after our last contact with you, or longer if we enter into a business relationship and the law requires us to keep records.
- Cloudflare Web Analytics: full records for 7 days, then a summary for up to six months.
- Google Analytics: 14 months, after which the data is deleted.
- Your cookie choice: 6 months, after which we ask again.
- Security and delivery records: for the periods Cloudflare sets for those purposes.
10. Your rights
Under data protection law you have the right to:
- request access to the personal data we hold about you
- request correction of data that is inaccurate or incomplete
- request erasure of your data
- object to processing based on our legitimate interests
- request that we restrict processing of your data
- request transfer of data you provided to us, where this applies
- withdraw consent at any time, where we rely on consent
You can object to analytics measurement and withdraw consent to Google Analytics at any time by choosing Reject in the banner or under Cookie settings at the foot of every page.
To exercise any of these rights, contact us at info@vantarialabs.com. We will respond within one month, and there is usually no charge. If you live outside the UK, you may have similar rights under the law where you live, which you can exercise in the same way.
You have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection (ico.org.uk, 0303 123 1113). We would appreciate the chance to deal with your concerns first, so please contact us before you approach the ICO.
